This role is for a Senior Workplace Coordinator who will run the building and operational systems behind the New York office, acting as the subject-matter expert on office operations, building requirements, vendor performance, and operational data. This is a senior individual-contributor role focused on owning office experience, general office execution, building operations, facilities, vendors, and the systems/data that support decision-making.
Responsibilities
- Conduct regular office walkthroughs to proactively identify facilities, maintenance, F&B, service, safety, and space-readiness issues.
- Manage the day-to-day property-management relationship and oversee building work orders through to resolution.
- Address facilities issues including HVAC, plumbing, lighting, electrical, leaks, doors, appliances, physical repairs, and preventative maintenance.
- Diagnose and route issues to the appropriate building or vendor partner, and verify that fixes are effective.
- Manage freight/loading-dock logistics and other building-specific operating requirements.
- Communicate directly with employees regarding building/facilities work that affects the office, with tactical, time-sensitive updates reviewed by the Workplace Manager.
Requirements
- 4+ years in workplace operations, office management, facilities, or hospitality with significant facilities/vendor responsibility.
- Direct experience managing vendors and contractors, ensuring they adhere to scope.
- Working understanding of HVAC, plumbing, electrical/lighting, and commercial building operations.
- Familiarity with work orders, COIs, property management, and preventative maintenance.
- Strong operational judgment to distinguish isolated issues from patterns requiring escalation.
- Comfort with operational data and spend tracking, and the ability to derive useful insights from day-to-day information.
- A proactive approach to identifying problems on the floor before they are reported.
- Clear, direct communication skills, with a willingness to communicate about work within your designated area.
- Experience with an office relocation or opening is a strong plus.
