You will collaborate with various internal teams, including IT Hardware Ops, the Endpoint pod, and Finance, to ensure seamless operations. This includes defining processes, selecting and administering asset management tools, and managing vendor relationships.

The ideal candidate will have experience implementing and managing asset management programs, e-waste initiatives, and vendor relationships, with a focus on creating efficient and scalable processes.

Responsibilities

  • Develop the global asset management strategy, including lifecycle models and data management.

  • Develop and refine on-site engineer processes for storage room management.
  • Support the evaluation and management of hardware lifecycle services vendors.
  • Establish and maintain an accurate inventory of record for all devices, tracking their state, location, and assignment.
  • Conduct audits to reconcile physical inventory against system records.
  • Manage inventories for demo, loaner, and travel devices.
  • Maintain inventory counts and support strategic purchasing decisions for new hires and peripherals.
  • Support hardware purchasing through reseller and vendor relationships.
  • Build and advance the hardware refresh calendar across offices.
  • Reconcile purchase orders, deliveries, and invoices with Accounting and vendors.
  • Develop device collection and recovery workflows for various return scenarios.
  • Build and manage the e-waste program, including certified recycling, secure disposal, and chain-of-custody records.
  • Handle equipment under legal hold or other chain-of-custody requirements.
  • Provision, track, and recover the device fleet for BPO partners.
  • Manage day-to-day operations for the corporate mobile program and create its runbook.
  • Manage mobile device deployment, break-fix, and carrier relationships.
  • Identify and automate repetitive tasks using available tools, scripts, or AI.

Requirements

  • Experience implementing an asset management and lifecycle program from inception to a system of record, including defining processes for procurement, inventory, assignment, refresh, collection, and disposal.
  • Experience selecting or implementing an asset management platform (e.g., Jira Assets, Snipe-IT) and developing its data model.
  • Experience running an e-waste or secure disposal program with certified partners and chain-of-custody records.
  • Experience managing reseller or vendor relationships for hardware purchasing and asset disposal.
  • Ability to document processes through runbooks, how-to guides, and knowledge base articles.
  • Ability to recognize when to route tasks to appropriate teams (IT Engineering, Endpoint pod, Finance).
