Replit is seeking a highly organized and proactive Administrative Assistant to provide comprehensive support to 2-3 VP-level leaders. This role is designed for an individual who thrives on creating structure, ensuring team organization, and enabling leaders to concentrate on their most impactful work. The position involves managing calendars, coordinating meetings and travel, processing expenses, and assisting with team events and onboarding. Success hinges on meticulous attention to detail, strong communication abilities, and the capacity to juggle multiple priorities in a dynamic, fast-paced setting.
Responsibilities
- Manage VP-level leaders' calendars, including scheduling and conflict resolution.
- Coordinate internal and external meetings across various time zones and stakeholders.
- Arrange travel, accommodations, and itineraries.
- Process expense reports and handle other administrative tasks.
- Track action items, deadlines, and follow-ups to help leaders stay organized.
- Coordinate team meetings, offsites, and other team events.
- Prepare agendas, meeting materials, and notes as needed.
- Assist with onboarding logistics for new team members.
- Support quarterly planning sessions, team reviews, and recurring team operating rhythms.
- Maintain documentation, team resources, and organizational systems.
- Contribute to improving administrative processes and workflows for increased efficiency.
- Collaborate with other Administrative Assistants, Executive Assistants, and cross-functional teams.
- Serve as a reliable point of contact for scheduling and coordination.
- Communicate professionally with employees, candidates, customers, and external partners.
- Build strong working relationships across the organization and foster a positive team experience.
Requirements
- 2-3 years of experience in an administrative, coordinator, office management, or operations role.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and adapt quickly to changing needs.
- Experience with Google Workspace, Slack, Notion, or similar productivity tools.
- Strong judgment and discretion when handling sensitive information.
- Experience supporting leaders or teams in a high-growth technology company (preferred).
- Experience coordinating events, offsites, or team meetings (preferred).
- Comfortable creating presentations, documents, and spreadsheets with high accuracy (preferred).
- Demonstrated ability to anticipate needs and proactively solve problems (preferred).
