We are seeking a Business Manager to establish and maintain the operational backbone of LiteLLM. This hands-on role requires meticulous attention to detail in finance and bookkeeping, ensuring accurate financial records, managing accounts payable, reimbursements, payroll coordination, and invoicing. You will also take ownership of people operations, including HR administration, onboarding, offboarding, benefits, and employee records, utilizing platforms like Rippling or Gusto. Additionally, you will oversee legal and business operations, coordinating contracts, insurance, and compliance, and manage office and executive operations, supporting founders with administrative projects and coordinating vendors and events. The ideal candidate possesses strong judgment, a sense of urgency, and the ability to learn quickly, working effectively with external experts while maintaining internal accountability.
Responsibilities
- Maintain accurate and reconciled financial books and records.
- Manage accounts payable, reimbursements, payroll coordination, and invoicing.
- Investigate financial discrepancies and monitor company spending.
- Coordinate with outsourced accounting firms, CPAs, and tax advisors.
- Prepare financial information for founders and assist with understanding cash flow and tradeoffs.
- Implement lightweight controls for company compliance.
- Manage day-to-day HR administration, including onboarding, offboarding, and employee records.
- Operate HR and payroll systems like Rippling or Gusto.
- Provide timely support to employees for HR-related questions.
- Coordinate with external experts on compensation, compliance, and employment matters.
- Assist in introducing structured people programs as the company grows.
- Coordinate contracts, insurance, registrations, and compliance deadlines.
- Manage relationships with legal counsel, ensuring cost-effectiveness and risk mitigation.
- Maintain organized corporate records and track important deadlines.
- Manage office operations and create a productive work environment.
- Support founders with high-priority administrative and operational projects.
- Coordinate vendors, events, scheduling, and travel.
- Assist with recruiting coordination and candidate experience.
- Identify and address operational gaps proactively.
Requirements
- Experience in finance, accounting, bookkeeping, or business operations, preferably in an early-stage tech company.
- Hands-on experience with payroll and HR administration.
- Experience with accounting systems such as QuickBooks, Xero, or NetSuite.
- Experience with people platforms like Rippling, Gusto, or Workday.
- Exceptional attention to detail, including investigating minor discrepancies.
- Strong sense of urgency and a commitment to task completion.
- Good judgment in determining when to handle tasks internally versus involving specialists.
- A genuine desire to support people and improve company operations.
- Curiosity and the ability to quickly learn unfamiliar areas.
- Strong prioritization skills, considering problem importance, cost, and tradeoffs.
- Comfort working across finance, HR, legal coordination, office management, and executive operations.
